Permissions & Team Collaboration

Learn how to invite people to teams and boards, understand the difference between personal teams and actual teams, and how to upgrade to enable team collaboration.

Infa supports two types of teams: personal teams and actual teams. Boards belong to teams, and the type of team determines whether you can invite team members.

Single user workspace with no collaboration

Multiple users with collaboration enabled

Personal Team

Every user has a personal team by default. Boards created in your personal workspace belong to your personal team. These boards:

  • Are created in your personal workspace
  • Belong to your personal team (have team_id: null in the database)
  • Cannot have team members added - they are private to you
  • Are ideal for individual work, research, or personal design system documentation

Actual Teams

Actual teams are created with Create Team in your dashboard, which starts a 14-day free trial of the Team plan. Boards created within an actual team enable collaboration. These boards:

  • Belong to an actual team (team_id is set)
  • Can have multiple collaborators with different permission levels
  • Support inviting team members as viewers or editors
  • Enable team-wide collaboration and sharing

Upgrading to Team Plan

To enable team collaboration and invite people to boards, you need a Team plan. Your first team starts with a 14-day free trial (one team trial per account), and after the trial the plan is billed per editor seat. See Teams for pricing and seat management.

Team Plan Benefits

When you upgrade to the Team plan, you get:

  • Unlimited boards within your team
  • Unlimited viewers - add as many viewers as you need at no extra cost
  • Pay only for editors - you're only charged for editor seats, not viewers
  • Team collaboration - invite team members to boards and manage permissions
  • Team settings - manage team members, billing, and settings from one place

How to Upgrade

  1. Create a Team

    • Open the team selector in your dashboard and select Create Team
    • Enter a team name, choose your initial editor seats, and pick a billing period
    • Click Start 14-day free trial and add a payment method in Stripe Checkout
  2. Or Join an Existing Team

    • Accept an invitation to a team that already has a Team plan
  3. Start Collaborating

    • Once your team exists, you can invite team members
    • Create team boards that support collaboration
    • Manage permissions and access levels

If your team was created but checkout did not finish, the team owner or a Team Admin can open the team's settings, go to the Billing tab, and click Start 14-day free trial (or Start subscription if your account has already used a team trial).

Viewer

  • Cost: Free (unlimited)
  • Access: Can view boards they have access to
  • Limitations: Cannot edit boards or invite others

Editor

  • Cost: Paid seat (billed per editor)
  • Access: Can edit boards they have access to
  • Requirements: Must be a full team member with an assigned editor seat

Team Admin

  • Access: Full control over team settings, billing, and all team boards
  • Permissions: Can invite/remove members, assign editor seats, manage billing
  • Who has it: The team owner, plus any member given the Team Admin role. Both can manage billing

Best Practices

  • Use personal team boards for individual work and research
  • Create an actual team when you need collaboration
  • Upgrade to Team plan if you need to invite people to boards
  • Add viewers freely - they don't cost anything
  • Be selective with editors - each editor seat is billed separately
